How to Get the Most Out of Your Meetings in 2020!

We have all sat in meetings where there was lots of discussion, but no clear action items identified to the issues, and no one named as owner for seeing that issue to resolution. 2020 is the year we stop doing that. The new year is a good time to refocus on igniting your Leadership Team, on keeping each other accountable, on identifying and resolving issues, and ultimately—moving your growth initiatives forward together. In doing so, it is necessary and important for teams to communicate effectively and consistently.

With these goals in mind, our Leadership Team has implemented, EOS®, the Entrepreneurial Operating SystemEOS® is a set of basic precepts and guidelines with practical application to structure meeting times, tasks, and milestones so that your team can be the most productive each week. 

Let’s have a Level 10 Meeting!

With EOS®, your meetings can go from an effectiveness of a 4 on a scale of 1-10, to a Level 10.  With a Level 10 meeting, Leadership meetings are set at the same day and time each week.  We have a designated facilitator to keep us on the agenda and an administrator to document issues and make sure tasks are assigned in our task management tool.  During the meeting, we discuss:

  • high level numbers – these are actionable numbers with weekly goals set to focus us toward our growth targets (i.e. - number of sales calls per week, number of past due calls per week, etc.)
  • issues we are currently facing – identify issues facing the business, personnel issues, operations, etc. and prioritize for resolving
  • assignment of action items to resolve the issues and move tasks to completion and hold the team accountable.
  • Communication of pertinent information to the organization from the meeting. 

Then the following week, we circle back to the tasks previously committed to and continue to make strides in the direction of continuous improvement in the activities that will help us grow, in holding each task owner responsible and accountable to the team, and in assuring proper communications have been sent to the whole organization. This has encouraged trust and accountability for our Leadership Team that we can then drive down to our individual teams.

This meeting structure has been adopted from a book called, “Traction” by Gino Wickman. This book has helped us in not only setting the structure for our weekly meetings, but also in setting structure for casting vision to our strategic planning.

Get started!

  • Designate a time for the weekly meeting.
  • Designate a facilitator to your meeting and an admin to track issues and assign tasks for the team. 
  • Work the agenda keeping time to keep folks on track and on topic.
  • At the end of the meeting, make sure you decide what info needs to be disseminated to the organization.
